Terms of Use

These Terms of Use (“Terms”) are an agreement between you and Clan-Man (“Clan-Man”, “we”, “us”, “our”), operated by Syncs App Ltd., a company registered in the United Kingdom.

By signing in to Clan-Man, clicking a sign-up button on a Clan-Man post in Discord, or otherwise using the service (the “Service”), you agree to these Terms. If you do not agree, do not use the Service.

Two companion documents go with these Terms, and both are worth reading before you connect a Discord server: the Privacy Policy, which says what we store and who can see it, and the AI Disclosure, which says what the app does and does not do with AI. Questions about any of it: ivan@hyggr.ai.

1. What Clan-Man is

Clan-Man is a match-planning tool for Hell Let Loose clans. A clan lead connects it to the clan's Discord server. From there the app collects match sign-ups from Discord, lets officers build rosters of squads and groups, draw tacmaps, and share a briefing link that players open without signing in. It also keeps the clan's match history, and an officer can import the statistics for a finished match from a community stats site (CRCON) by pasting a link to it.

Clan-Man is invite-only while it is young. You ask us for access, we send a one-time code, and that code sets up your first clan.

Clan-Man is an independent tool. It is not affiliated with, endorsed by, or sponsored by Team17, Black Matter, or Expression Games. “Hell Let Loose” and related names are trademarks of their respective owners, and we use them only to say which game the tool is for.

We are not affiliated with or endorsed by Discord either. Clan-Man uses Discord's official APIs like any other application. Your Discord account, your server, and your relationship with Discord stay governed by Discord's own terms, which nothing here changes.

2. Independence from any clan

One of the two people who build Clan-Man plays Hell Let Loose competitively, for SAS and MSU. That raises an obvious question, so:

  • Clan-Man is not operated by, for, or on behalf of any clan, team, league, or tournament, including SAS and MSU. No clan owns it, funds it, or directs it.
  • No clan gets preferential access, earlier features, or any view into another clan's data.
  • The builders' own clans are customers like everyone else, with access to their own data and nothing more.
  • Playing against a clan that uses Clan-Man gives nobody any insight into their plans. There is no route by which one clan's data reaches another.
  • We run the servers and the database, so we can technically reach what is in them, as at any hosted product. That access is for running and supporting the service. It is never used to look at what a clan is planning, or for competitive advantage. The Privacy Policy sets out who has it and what it opens.

3. Eligibility

You must be at least 16 years old, or the age of digital consent in your country if that is higher, to use the Service. If you are under that age, do not use Clan-Man and do not click sign-up buttons on its Discord posts.

4. Your account

Signing in with Discord is the only way in. When you sign in we ask Discord for two things only: your basic profile and the list of servers you are in.

That has one consequence: whoever controls your Discord account controls your Clan-Man access. Keep it secure, use two-factor authentication, and do not hand your Discord credentials to anyone. You are responsible for what happens under your account. If you think it has been used without your permission, secure it with Discord first, then tell us.

Your name and avatar in Clan-Man come from Discord and are refreshed each time you sign in.

5. Clans, roles, and who controls the data

Clan-Man is organised around clans, not individual users. A clan exists because someone connected the app to a Discord server, and everything inside it belongs to that clan.

We keep no list of who runs a clan. Access is read from the clan's own Discord roles: the clan nominates which of its roles can sign in, and the server owner and anyone with Administrator on that server always can. Where these Terms say “officers”, that is who is meant. Your clan decides who gets in, not us, and we cannot grant access to someone whose Discord server has not given them the role.

If a role is taken away, the ability to change anything goes with it within about a minute. Read access ends the next time that person opens Clan-Man, or sooner if you ask us to close it. The Privacy Policy explains why, in the section on keeping clans apart.

Within a clan, officers decide what goes into Clan-Man and who sees it, including whether to publish a briefing link. The clan is responsible for what it puts in and for keeping it lawful and accurate.

What your clan can see about you

Clicking a sign-up button on a Clan-Man post records that player's Discord user ID, their display name in that server, and their answer, even if they have never opened the website. Officers see that, plus anything they assign afterwards: a squad, a role, a position, and free-text tasks. Publishing a briefing puts gamertags, positions, and tasks in front of anyone holding the link. Who said yes, no, or maybe never appears on a public page. The sign-up pool stays inside the clan.

A player who does not want to appear in their clan's planning should not click the sign-up buttons. Disagreements about what a clan records about its players are between the clan and its players. We can delete data on request, but we do not arbitrate clan politics.

The line between clans

One clan never sees another clan's sign-ups, rosters, tacmaps, or match plans. Every request is checked against your membership of the clan the data belongs to, and a clan you are not a member of simply does not exist as far as the app will tell you. Trying to get at another clan's data is a breach of these Terms and we will cut off access for it. How the check works, and its honest limits, are in the Privacy Policy.

6. Your content

You and your clan keep ownership of what you put into Clan-Man: match details, briefings, rosters, squad and group notes, tacmaps and everything drawn on them, templates, saved plans, player names, and any match scoreboard an officer imports. We call all of it “Your Content”.

To run the Service you grant us a limited, non-exclusive licence to store, copy, process, and display Your Content back to you, to the other members of your clan according to their roles, to the Discord channel an officer chooses to post it in, and, if an officer publishes a briefing, to people holding that link. That is the whole of it, and the licence ends for a piece of content when that content is deleted.

We do not sell Your Content, we do not share it with other clans, and we do not use it to train anything.

The app makes one AI call, and only during a match-statistics import: if our own code has already flagged something about a group, and if an API key is configured, one request goes to OpenAI asking for one sentence per finding connecting that finding to the brief the group's admin wrote. Every judgement and every number on the report is ordinary code, not a model. What we send is a short list written out field by field: the group's internal id, its name, its brief, and the findings we computed ourselves. Not sent: gamertags, player rows, Discord identities, kill and death counts, weapons, the score, the map, which side you played, member tasks, or the raw scoreboard. One caveat worth saying out loud: a brief is free text, so an admin who writes a player's name into one sends that name. The AI Disclosure has the rest.

7. Public briefing links

An officer can publish a match to a public page so players read their briefing without signing in. That link works exactly like a shared Google Sheets link: anyone who has it can open it, there is no password on it, and once it is pasted somewhere you no longer control who has it. The address is the match title plus eight random hex characters, and being hard to guess is the only thing protecting it. We do not publish or list these addresses anywhere, but unlisted is not secret.

  • On the page: the match details and map, the briefing text and per-group notes, the roster with each player's gamertag, position and tasks, the reserves, the comms channels, and every tacmap variant.
  • Not on the page: the sign-up pool, who said yes, no, or maybe, Discord IDs, your clan's identifier, or any identifier that means anything anywhere else.

Officers control publishing. Unpublishing takes effect immediately and the link stops working, though the same address comes back if the match is published again, and nothing expires on its own. Whoever publishes is responsible for it: for the content of the briefing, for the player names and tasks it carries, and for who receives the link. Do not publish anything your players would not want handed to a stranger. The Privacy Policy covers what a visitor sees and what we log when they open the page.

8. Acceptable use

You agree not to:

  • upload or publish content you do not have the right to use;
  • post unlawful, harassing, abusive, hateful, or infringing content, or content aimed at a particular person;
  • try to reach the data of a clan you are not a member of, help anyone else do so, or probe the Service to find out whether another clan's matches or plans exist;
  • break, overload, scrape, or reverse-engineer the Service, or interfere with anyone else's use of it;
  • point the match-statistics import at a scoreboard you are not entitled to fetch;
  • impersonate another player, officer, or clan;
  • use the Service in a way that breaks Discord's terms or the terms of the game;
  • use the Service in any way that breaks applicable law.

9. Plans and billing

Payments are processed by Stripe, which also sells the plan to you as merchant of record. That means your contract for the payment itself is with Stripe: it takes the money, charges any tax that is due, and issues your receipt. Your contract for the app and everything else in these Terms is with us.

Plans are bought per clan, not per person. One plan covers everyone in that clan's Discord server who has the right roles. If you pay for a clan, you confirm you are entitled to do so on that clan's behalf. Prices are in US dollars and the current ones are always in the pricing section on the home page.

Free

“Try it out” gives your clan one full match, from sign-ups to briefing, every feature unlocked, no card. Enough to decide whether the app fits the way your clan runs a match night. Once that match is used, running another needs a paid plan.

Founding clan

“Founding clan” is a one-time payment, currently $99 per clan, for lifetime access to the current feature set and to what we ship after it. There is no subscription and no renewal. It is offered to a limited number of clans; the number of spots left is shown in the pricing section, and when they are gone the offer closes.

“Lifetime” means for as long as we run Clan-Man. It is not a promise that any particular feature will exist forever. The plan belongs to the clan it was bought for and does not move to a different clan.

It does mean something if we stop. If Clan-Man is ever discontinued, whether because we decide not to carry on or because something happens to us, we commit to two things for founding clans: the source code of the app, handed over for a founding clan to keep and run itself, with no limit on that use, and a full export of your clan's own data (matches, rosters, tacmaps, briefings, templates) intact and in a form you can actually use. You are backing this early, so you should not be the one carrying the risk if it ends.

Standard

“Standard” is a subscription, per clan: $10 per month billed annually, or $12 per month billed monthly. It renews automatically at the end of each period until someone cancels it.

You can cancel at any time. Cancelling takes effect at the end of the period you have already paid for, so your clan keeps full access until that date and nothing further is charged after it. We do not, as a matter of course, refund the unused part of a period already paid for, but see the section on refunds below.

Payment

Payment is taken by Stripe, on a Stripe-hosted checkout page, and Stripe's own terms and privacy notice apply to the payment itself. Card details are handled by Stripe; we never see them and do not store them. Because Stripe is the merchant of record, its name, not ours, is what you will see on your card statement and on the receipt.

Price changes and tax

We may change prices, with notice in advance. A change never applies in the middle of a period you have already paid for: a new price takes effect at your next renewal, and if you do not want it, cancel before then. A “Founding clan” payment is not affected by later price changes.

The prices on the pricing page exclude VAT, sales tax, GST and any similar tax. Where tax is due on your purchase, Stripe works out how much, adds it at checkout before you pay, and accounts for it to the relevant tax authority. What you owe therefore depends on where you are, and the total shown at checkout is the amount you will be charged.

If a subscription lapses

If a subscription is cancelled and runs out, or a payment fails and is not fixed, the clan loses access to the signed-in app: officers can no longer open the clan, and the app stops posting to your Discord.

Losing access is not the same as losing your data. We keep the clan's matches, rosters, tacmaps and templates for a grace period after a lapse, so a clan that comes back finds its history where it left it. We will tell you before anything is deleted, in practice through the clan's Discord server, since Clan-Man holds no email address for you. Deletion, when it comes, is irreversible.

10. Refunds

Refunds are handled case by case, by a person, not by a policy engine. If something went wrong, if you were charged for something you did not mean to buy, or if the app plainly did not do what you paid for, write to ivan@hyggr.ai and we will sort it out. We would rather return the money than argue about it. The refund itself is made through Stripe, back to the card you paid with, so it can take a few days to appear.

Nothing in this document limits any statutory refund or cancellation right you have as a consumer under the law of your own country. Where those rights apply, they come first, whatever the rest of these Terms say.

11. The demo

The demo at /demo is public and needs no sign-in. Every change you make there lives in your browser tab and nowhere else, and reloading the page resets it to the starting state.

It touches no real clan's data, and the clans, players, and matches in it are made up. It is there to walk through the app, not to keep anything in.

12. Availability and changes to the Service

The Service is provided on an “as is” and “as available” basis, and it is a young product in active development. We may add, change, or remove features. Something you rely on today may work differently in a few months, and we will try to make those changes sensible rather than surprising.

We work to avoid data loss, but we cannot guarantee uninterrupted or error-free operation. Clan-Man also depends on Discord: if Discord is down, rate-limits us, or changes how its API works, parts of the app stop working, and that is outside our control. Keep your own copy of anything your clan cannot afford to lose.

13. Suspension and termination

You can stop using Clan-Man at any time. Only the owner of the clan's Discord server can delete the clan from inside the app. That deletes everything under it, for everyone in the clan: members, players, matches, sign-ups, rosters, tacmaps, templates, saved plans, and imported statistics. It is immediate, it is irreversible, and we cannot undo it for you afterwards.

There is no self-serve “delete my account” button today. We will do it manually within 30 days if you ask at ivan@hyggr.ai, except anything we must keep to meet a legal obligation. There is also no “leave this clan” button: your access to a clan ends when your role in its Discord server does.

We may suspend or end access to the Service, for a person or for a whole clan, if these Terms are breached, if the use risks harm to other clans or to the Service, if we are required to by law, or for non-payment as described above. Where it is practical we will tell you first; in serious cases we will act first and explain afterwards.

We may also stop offering the Service. If we do, we will give reasonable notice before shutting it down, and the commitment to founding clans set out under plans and billing (the source code, and a full export of your clan's data) takes effect.

14. Disclaimers

To the fullest extent permitted by law, the Service is provided without warranties of any kind, express or implied, including fitness for a particular purpose, accuracy, and non-infringement. We do not warrant that the Service will meet your requirements or that it will be available without interruption.

Clan-Man helps your clan plan a match. It does not guarantee any outcome of one. Figures computed from an imported scoreboard are only as good as the scoreboard they came from, and anything the app shows you about a match is information to check, not a fact to rely on blindly.

15. Limitation of liability

To the fullest extent permitted by law, Clan-Man and Syncs App Ltd. will not be liable for any indirect, incidental, special, or consequential damages, or for loss of data, revenue, or profits, arising from your use of the Service.

Where liability cannot be excluded, the total liability of Syncs App Ltd. to you for all claims is limited to the amount your clan paid us for the Service in the twelve months before the claim arose.

That cap does not apply to the commitment made to founding clans under plans and billing above: the source code, and a full export of your clan's data, if Clan-Man is discontinued. A founding clan pays once, so a twelve-month cap would empty that promise of everything it is worth. It stands on its own.

Nothing in these Terms limits liability that cannot be limited by law, including liability for death or personal injury caused by negligence, or for fraud.

16. Changes to these Terms

We may update these Terms. When we do, we will change the “Last updated” date at the top of this page, and where a change matters we will say so on the site. Continuing to use the Service after a change means you accept the updated Terms. If a change materially disadvantages a clan on a paid plan, that clan may cancel and stop being bound by it. A founding clan has no subscription to cancel, so instead: write to us, and we will either keep the previous terms for you or refund the founding payment.

17. Governing law

These Terms are governed by the laws of England and Wales, and any dispute will be handled by the courts of England and Wales, unless the consumer law of your own country requires otherwise.
